Installing Email Signatures
When you request an email address you will also be given an email signature file that you can use with your email program. The instructions are different for each email program. Below are some of the most common. If you are using something different and need some help please contact us.
The Apple Mail App for iOS offers basic text formatting in signatures but does not fully support complex HTML (e.g., tables, custom fonts, embedded images). Some basic formatting may be preserved if pasted from a formatted email.
1. Send the signature to your iOS device.
- On your computer, open the
.htmlfile in a web browser. - Select and copy the entire signature as it appears, including basic formatting and images if any.
- Paste this signature into a new email, and send this email to your iPhone / iPad.
2. Copy the signature from the email on your iPhone / iPad
- Open the email you sent to yourself using the Apple Mail app.
- Highlight the entire signature, then tap Copy.
3. Add your signature in iOS Mail settings
- Open Settings on your iPhone / iPad.
- Scroll down and select Mail.
- Tap Signature.
4. Paste your signature
- If you have multiple email accounts, choose "All Accounts" or "Per Account".
- Tap and hold in the signature box, then select Paste.
5. (Optional) “Shake to Undo” for formatting:
- Apple Mail sometimes strips formatting when pasting. After pasting, shake your device gently and tap Undo to restore formatting (if prompted).
6. Done!
- Your signature updates automatically. Compose a new email to check the signature.
1. Open the signature HTML file
- Locate the
.htmlfile containing your signature and open it in your web browser. - Press
Cmd + A(to select all), thenCmd + C(to copy).
2. Open Apple Mail Preferences
- Open the Mail app.
- In the top menu, select Mail > Settings (or Mail > Preferences).
- Select the Signatures tab.
3. Create a new signature
- Choose the email account to use the signature with.
- Click the
+icon to create a new signature. Name it if you wish.
4. Paste the signature into the editor
- Select the newly created signature.
- In the right panel, delete any existing content.
- Click into the signature box and press
Cmd + Vto paste your HTML signature.
5. Drag signature to the account (if necessary)
- Sometimes you may need to drag the new signature from "All Signatures" to your desired email account.
6. Set as default (optional)
- Select your new signature as the default for new emails and/or replies/forwards.
7. Test your signature
- Compose a new email to verify the signature appears as intended.
The Gmail App for iOS does not support advanced HTML signatures. It only allows simple plain text. Images or HTML formatting will not be preserved.
Basic steps for text-based signature:
1. Open the HTML signature on a computer
- Double-click the
.htmlfile to open it in a web browser. - Copy the plain text portion of your email signature (images and formatting will be lost).
2. Send the signature to your phone (optional)
- Email the plain text signature to yourself so you can easily copy it on your iPhone/iPad.
3. Open the Gmail app on your iPhone / iPad
- Tap the three horizontal lines (
≡) in the top left. - Scroll down and tap Settings.
- Tap the email account you want to add a signature to.
4. Tap "Signature Settings" or "Signature"
- Turn on Mobile Signature.
5. Paste the signature
- Tap and hold in the signature box and select Paste to add your plain text signature.
6. Save
- Go back or close the settings; changes are saved automatically.
Troubleshooting / Tips
- For the best experience, set up your signature on an alternative email program which fully supports HTML signatures.
- If you need to use images or custom formatting, use Outlook for Mac or Apple Mail.
- If your signature appears incorrectly, make sure you copied it from a browser window, not a text editor.

- Open the email or note on your phone and copy the plain text portion of the signature.
4. Open the Gmail app
- Tap the three horizontal lines (
≡) in the top left. - Scroll down and tap Settings.
5. Choose your email account
- Tap the Google Workspace account you want to set up the signature for.
6. Tap "Signature Settings" or "Signature"
- Scroll down to the General section and tap Mobile Signature.
5. Paste the signature
- Tap and hold in the signature box and select Paste to add your plain text signature.
- You can adjust the text as needed, but advanced formatting (such as bold, color, or links) and images are not possible.
6. Save and Exit
- Tap OK or the back arrow to save.

- Launch Microsoft Outlook.
- In the top menu, click on Outlook and select Preferences.
3. Access Signatures
- In the Preferences window, find and click on Signatures.
4. Create a new signature
- Click the
+button at the bottom to add a new signature. - Name your signature (e.g., "Work Signature").
5. Paste your signature
- In the signature editor, click inside the box and press
Cmd + Vto paste your copied signature.
6. Set your default signature
- Under Choose default signature, select your new signature for New Messages and Replies / Forwards as desired.
7. Save and close
- Close the Signatures window; your changes will be saved automatically.
- To verify, create a new email and check that your signature appears correctly.
Note: If your signature formatting looks wrong, ensure you copied the content from the web browser displaying your signature, not from a plain text editor.

2. Open Outlook
- Launch Microsoft Outlook.
3. Go to Signature Settings
- Click File in the top left corner.
- Select Options.
- In the left sidebar, select Mail, then click the Signatures... button on the right
4. Create a new signature
- In the Email Signatures tab, click New.
- Give your signature a name (e.g. "Work Signature").
- Click OK.
5. Paste the HTML signature
- In the "Edit signature" area on the right, remove any text if present.
- Paste your copied HTML signature using
Cmd + V.
6. Set your default signature
- Under Choose default signature, select your work email account.
- Set the newly created signature for New messages and / or Replies / forwards as desired.
7. Save and close
- Click OK to close the Signatures and Stationery window.
- Click OK again to close the Outlook Options window.
8. Test your signature
- Compose a new email in Outlook. Your HTML signature should appear at the bottom of the message, fully formatted.
Note: If your signature formatting looks wrong, ensure you copied the content from the web browser displaying your signature, not from a plain text editor.
